Special Events and Tournaments

The Town of Oakville is the host for many community special events and tournaments.  Additional town resources are essential when hosting these events and tournaments.

Groups looking to host a Special Event or Tournament should review the Special Events User Guide (pdf, 710 kB) and submit a Special Events/Tournament request form (pdf, 60 kB).

How do I book a special event or tournament?

A timetable for requests and permit confirmation deadlines are set annually. Current clients that are in good standing are contacted and requested to submit their requirements to the booking clerk before each season deadline.

Download the appropriate application form and submit by January 31 each year.

What else do I need to know?

  • Late requests will be accepted on a first come, first served basis.
  • All event requests require a minimum of 4 weeks to complete the approval process.
  • A permit does not imply any other rights for use of parkland or additional activities.
  • Any special requirements must be requested in writing to the Supervisor of Permitting and Scheduling.

Extra services may include:

  • additional sanitation and garbage cans/collection
  • stages, flags and bunting
  • portable bleachers
  • snow fencing
  • picnic tables
  • marquee tents
  • portalets

Special conditions may include:

  • food service of any kind
  • sale, distribution, display or advertising of any product or service
  • amplified sound
  • use of park utilities
  • set-up of any tent / sunshade or structure

Rates and Fees

Council approves rental fees annually based on current market trends, base rates and fees,and current budget requirements.  The rates are subject to change pending council approval.

All rates include applicable taxes.

Rates are in effect for the 2012 season.

Tournament Fee $178.50 - per location per day
Special Event Community Group $123 per day
Special Event Corporate Group $257.50 per day
Special Event Non Resident $302 per day

Extra fees will be charged for all services and amenities rquested.

Staffing charges will be added to permit where applicable
