Vendor, sponsorship and performer opportunities

The Town invites vendors, sponsors, and performers to be part of our signature community events, including Canada Day, the Santa Claus Parade, and Movies in the Park, as well as other community celebrations throughout the year.

These events bring thousands of residents and visitors together and play an important role in creating vibrant, memorable experiences across the community.

Food vendors

Apply to participate as a food vendor at Town of Oakville events.

Food vendors are selected to support a diverse, high-quality, and family-friendly culinary experience and must meet all health, safety, and operational requirements.

Oakville’s annual Canada Day celebration returns on Wednesday, July 1, 2026 at Bronte Heritage Waterfront Park featuring live entertainment, family activities, and a vibrant food vendor marketplace. Local food vendors are invited to participate and help us offer an exceptional culinary experience to our community.

Community booths and marketplace

Apply to participate as a community booth at Town of Oakville events.

The Town prioritizes participation from local non-profit and community organizations that provide interactive, staffed, and family-friendly experiences supporting connection and engagement.

Community booth opportunities are primarily intended for:

  • Local non-profit and community organizations
  • Cultural, recreational, and educational programming
  • Interactive activities (e.g., arts and crafts, try-it sports)

Participation is typically offered as an in-kind partnership.

Community groups are invited to host free, interactive activities as part of the Canada Day celebration on Wednesday, July 1, 2026 at Bronte Heritage Waterfront Park.

Thank you for your interest. Applications for Canada Day 2026 Community Booth opportunities are now closed.

Limited opportunities are available for community groups to participate in pre-show programming at Movies in the Park events, held on select weekday evenings in August at Town parks.

  • Activation window: Approximately 6 to 8:30 p.m.
  • Activities should be family-friendly and drop-in
  • Set-ups must be lightweight and fully self-contained
  • Food sales: Not permitted on site

Opportunities are curated based on event fit and space availability.

Performers and entertainers

Submit your information to be considered for performance opportunities at Town of Oakville events, including Canada Day, facility openings and civic celebrations, and other community events throughout the year. 

We welcome submissions from musicians and bands, cultural performers and dance groups, family and children’s entertainers, roving and interactive performers, as well as theatre, spoken word, and multidisciplinary artists.

Most opportunities are community-based and may be offered as in-kind participation or with a modest honorarium, depending on the event and available budget.

How to apply

Submit a Performer Expression of Interest Form.

Submissions are accepted on an ongoing basis and reviewed as opportunities arise. While this is a rolling Expression of Interest, submissions received by June 1, 2026 will be considered for Canada Day 2026 programming. Not all applicants will be selected, and only those selected will be contacted.

Santa Claus Parade 

Applications for parade participants (including walking groups, floats, and bands) will open in summer 2026.

About our audience

Our Canada Day event attracts a diverse, engaged audience representing a broad range of backgrounds and experiences. In 2026 we expect to welcome 25,000+ visitors with a strong interest in family-friendly, convenient, and innovative programs and services. In a survey of past attendees, 50% were married or common-law and 40% had children.

Canada Day Presenting Sponsor – $10,000

One opportunity is available in this exclusive category. Benefits include:

  • company name recognition on marketing materials (logo), including “presented by” with logo on print and digital marketing collateral
  • logo on mobile signs (outdoor advertising)
  • stage signage, other onsite signage to include logo (maps, performance schedules, etc.)
  • community booth/display area for community outreach onsite at event (must offer an engaging recreational or cultural activity)
  • “presented by” in the news release
  • social media mention
  • indoor facility posters
  • digital signboard exposure on over 20 screens in Town facilities (four months)
  • Recreation and Culture e-newsletter mention

Canada Day Community Champion – $5,000

Benefits include:

  • indoor facility posters

Participation guidelines

To ensure inclusive, welcoming, and community-focused experience, the following guidelines apply to all Town-run events:

  • Participation is intended for community engagement and event enhancement only; commercial sales or fundraising are not permitted unless expressly approved by the Town 
  • Political campaigning, advocacy, or endorsement is not permitted 
  • Religious organizations are welcome; however, activities must be inclusive in nature and not promote or advance specific religious beliefs 
  • Messaging, displays, and materials must align with the spirit of a municipal, non-partisan event 
  • Participants are expected to conduct themselves in a respectful and inclusive manner, in keeping with Town standards and applicable policies 
  • All activities must comply with applicable municipal by-laws, safety requirements, and event guidelines 
  • The Town reserves the right to review and approve all applications, materials, and on-site activities, and to request modifications where necessary 
  • In support of the Town’s environmental goals, participants are encouraged to minimize waste; distribution of paper materials (e.g., flyers, handouts) is discouraged
