Oakville’s Canada Day festivities return to Bronte Heritage Waterfront Park on Tuesday, July 1, from 5 to 10 p.m.

This family-friendly birthday bash will feature:

  • a variety of cultural activities, including arts and crafts
  • interactive sports try-its
  • food and beverage services, and
  • busking-style performances.

The evening will also include:

  • community performances
  • welcome speeches
  • professional entertainers, and
  • a fireworks display to end the evening.

Sponsors, community groups, food vendors and volunteers all play a major part in supporting our Canada Day event each year. In 2024, we welcomed over 30,000 visitors!

As part of our commitment to fostering an inclusive and welcoming environment for all attendees, we expect all activities and programs offered by community groups and organizations align with the town’s mission and vision, including but not limited to all existing by-laws, Town of Oakville policies, such as the town’s RZone Procedure.

One opportunity is available in this exclusive category. Benefits include:

About our audience

Our Canada Day event attracts a diverse, engaged audience representing a broad range of backgrounds and experiences. This year’s anticipated attendance is 25,000+ visitors. They are actively seeking family-friendly, convenient and innovative programs and services. In a survey of past attendees, 50% were married or common-law and 40% had children.

Every year, we look for local community groups and not-for-profit organizations to host recreational or cultural activities at this year’s event. This could include activities such as face painting, try-it sports, or arts and crafts.

This year's deadline for applications was May 15, 2025. Successful applicants are confirmed after the deadline.

Participation details

  • Each community group will be able to host a 10x10 feet space for a tent or booth.
  • The group will provide a free program or activity that is focused on community engagement.
  • There is no fee to participate as this is considered an in-kind partnership.

Before the event, successful applicants will be asked to provide organizers with a list of everything they intend to hand out for approval. Participants may be asked to leave if they distribute anything outside of what was approved.

Setup Information

  • Community groups and not-for-profit organizations must provide their own tent, materials, tables, and chairs.
  • Event hours are from 5 to 10 p.m. (booth activities to be offered from 5 to 9 p.m.).
  • Groups will load in between 2:30 and 3:30 p.m. Road closures will begin at 4 p.m.
  • Limited parking will be available on site.

Terms and conditions

Full details are provided on the application form or available by emailing events@oakville.ca. These include:

  • I agree to provide a copy of Commercial General Liability Insurance in the value of $5M, naming the Corporation of the Town of Oakville as an additional insured.
  • I understand that access to electrical is not provided.
  • I commit that my set up will happen between 2:30 and 3:30 p.m. on Monday, July 1, 2025.
  • I understand that the festival will not accommodate vehicle in/out during festival hours.
  • I understand that all Community Booths must close at 9 p.m.

Annually, community groups and not-for-profit organizations are invited to be part of the year’s live performances at our Canada Day celebration.

This year, applications were due by May 15, 2025.

A jury reviews all applications and selects a maximum of four or five groups. Groups will be notified of the decision, including the venue for your performance, by May 30, 2025.

Criteria

  • These live performances are offered at no cost to participants or the Town of Oakville.
  • Must be able to perform between 5 and 7 p.m.
  • Will provide a cultural live performance.
  • Can be adapted to perform on the Canada Day stage or under the Sails.
  • Preference will be given to Town of Oakville community and not-for-profit groups.

Conditions for presenting a live performance at Canada Day 2025

  • Your show should not be longer than 25 minutes.
  • You will have 15 minutes for set up before and 10 minutes to clear the stage after your performance.
  • Shows will start and end at times provided. Keeping to the schedule is crucial for the event's success.
  • The show should be as simple as possible.
  • Backstage space is limited, so only performers and essential technical personnel will be permitted in fenced areas.
  • There is no dressing room space, so performers must arrive dressed in costume.
  • Both performance spaces are located approximately 50-100 feet from the parking lot, requiring that your group be prepared to carry equipment and performance necessities to your designated space.
  • Each performance group will be allocated one onsite parking space. Therefore, your equipment must fit inside the vehicle accompanying the parking pass.

Venue details

Canada Day Stage
  • The space available for your performance will measure 20 feet wide by 16 feet deep.
  • Additional space is available on the grass in front of the stage.
  • No items can be hung from the roof of the stage, and there will be a Canada Flag backdrop that cannot be covered.
  • The Canada Day stage will be equipped with a sound system capable of playing pre-recorded music or providing microphones for a small band.
  • Backline equipment will not be provided.
Under the Sails
  • A concrete floor measuring approximately 30x30 feet is available for performances.
  • You cannot attach anything above or behind the performance area. There are permanent “shade sails/sunscreens” above to provide shade.
  • A basic sound system capable of playing pre-recorded music and accommodating up to two microphones will be provided.
  • Backline equipment will not be provided.

Vendor requirements

The festival aims to confirm food vendors that offer:

  • Kid-friendly meal items and portions.
  • Price conscious items.
  • Healthy meal items and alternatives.
  • Locally grown/sourced foods.
  • Seasonal foods.
  • Compostable packaging and avoidance of single use condiments.

Fee

Special Event – Canada Day Vendor = $497.20 (including tax) based on $99.44 x 5 hours.

Provisions

The festival will provide to each food vendor:

  • One (1) vending space (40 feet long x 10 feet deep).

Terms and conditions

Full details are provided on the application form or available by emailing events@oakville.ca. These include:

  • Access to amenities including electrical, water, grease, and grey water dumping, etc., are not provided or available. Every food vendor must bring and remove all necessary amenities with them.
  • Vendors that leave garbage or damage behind will be charged an additional $598.90 (incl. tax), calculated as Garbage Disposal = $327.70 + Special Event Clean Up: FT Staff = $90.40 x 3 hours = $271.20
  • Applications will be received and reviewed, and vendors will be confirmed on a first-come, first-served basis. Vendors must submit proof of a valid Town of Oakville vending license with this application.
  • Once positioned inside the event site, all food vendors must remain in the stationary and parked position for the entire duration of the event. If the food vendor runs out of food, the vendor can close but must remain on site until authorized to leave by Event Staff at or shortly after approximately 11 p.m.
